File Naming

Good file names can help to provide a quick description of a file's contents.

  • They should be concise, consistent and meaningful eg 2022_09_12AgendaStaffMeeting.docx
  • Avoid lengthy file names and special character and spaces as they cause problems with some operating systems.
  • Don’t use personal names in file names – think about Data Protection!

Similarly, well thought out directory names and hierarchies can help to facilitate quick and easy navigation your files.

Versioning

You can track versions of your documents by using a consistent numbering system eg first draft:

Report_2022V0_1.docx

final version:

Report_2022V1_0.docx

Consider who has access to which versions and where you store them? Can you be sure which is the most up to date and correct version?
