Paid work experience opportunities for Warwick students

The 2018 Warwick Summer Internships (WSI) programme is now CLOSED. If you an undergraduate student interested in finding out about our future internship programmes, please come back to this webpage in October 2018, where more up-to-date information will be released.

The following information will give you an idea of the last programme:

Warwick Summer Internships (WSI) offer full-time, paid 6+ week experiences, exclusively for Warwick undergraduate students. Placements are with small and medium-sized enterprises (SMEs), charities and internal departments of the University.

WSI's internships start the week commencing 25 June (last week of summer term) or 2 July 2018 (first week of summer holidays) with external employers, and 2 July 2018 with the University's internal academic and administrative departments.


Key info

Part-funded by Santander Universities and generous donations from Warwick alumni and friends, WSI provides the many advantages afforded by a high-quality summer internship.

Santander Terms & Conditions, including their data processing commitments, apply if your internship is selected for part-funding via their SME Internships progamme. You will have the opportunity to give specific consent for this at the point of signing your internship agreement.

The application deadline for WSI 2018 has now passed.

If your application is shortlisted, host organisations will contact you directly for interviews and further selection process. Once you decide to accept an internship offer, confirm this to the relevant host organisation, and advise other employers who have made you offers that you won't be accepting theirs.

To participate in WSI, you must be able to answer Yes to ALL of the following criteria:
  • I am a current undergraduate student (including integrated undergraduate Master's e.g. MMORSE, MPhys) of the University of Warwick until at least July 2018
  • I am able to commit to the programme timeline and requirements
  • If appointed, I am able to start WSI internship the week commencing 25 June 2018 (applicable to UK/EU students) or 2 July 2018 (applicable to international students on Tier 4 visas) with external employers, or 2 July 2018 with the University's internal academic and administrative departments
  • I confirm that I am legally entitled to work full-time in the UK during the period June (UK/EU students) or July (international students), to September 2018, and that I can produce, if required, appropriate ID and/or a visa to demonstrate this.

  • You will have the opportunity to apply to a range of curated and quality-checked exclusive internships with SMEs, Charities and Warwick's internal departments.
  • If appointed, you will be earning £8.57 per hour or above, in a full-time 6+ week summer internship. You will probably work for around 35-40 hours per week (start, finish and lunch times will be agreed locally).
  • The chance to showcase your talent to an employer. A valuable opportunity to gain real work experience and an insight into the working world.
  • Work experience to improve your employability and enhance your CV increasing your work-readiness.
  • All programme participants benefit from work experience learning resources and support including "Preparation for Work Experience" Induction.
  • You can access applications and interviews workshops booked via myAdvantage to support your application to WSI opportunities. Refer to the section on "How can Student Careers & Skills help to support your WSI application? below.
  • Take part in your internship for a minimum of 6 weeks without taking leave.
  • Take part in learning activities designed to enhance your internship.
  • Confirm or complete the appropriate salary payment process.
  • Complete an end of programme evaluation form supplied by Warwick.
  • Enter into an agreement with the University that sets out the expectations of all three parties - you, your host organisation/ department, and the University of Warwick. This ensures that you enter into the internship with a clear understanding of your own responsibilities to your host employer/ department and the University, the responsibilities of the host employer/ department towards you and the University, and our responsibilities to you and the host employer/ department, all of which underpin our grant model, a successful learning experience and a value-added experience for you.
  • Commit to working as an employee of the host organisation. As an intern, you will be given the appropriate supervision to acknowledge that this is a learning experience.

Internships potentially cost you money in terms of:

  • Accommodation and travel (including interview travel)
  • You may need to pay upfront for accommodation and travel expenses before you receive your first pay check which tends to be at the end of your first working month.
  • Lunches
  • Suitable clothing
  • Remember you will take home less than the advertised rate as most salaried earnings are subject to deductions for Income Tax and National Insurance. For more information, please see the GOV.UK website.

There may also be a cost to your time against:

  • Reading and analysing vacancies
  • Preparing and submitting applications
  • Attending interviews
  • Commuting
  • Taking part in learning activities that support your internship.
  • Registering and providing right to work documentation with Unitemps if you secure an internship with Warwick's internal departments.
  • Completing the appropriate documentation e.g. programme evaluation form, timesheets and pay confirmation to ensure that your host organisation receives their funding.
  • You may make applications that do not lead to an interview or offer. If your host organisation does not come back to us with their offer and your confirmed acceptance quickly enough, they may not be awarded funding. We recommend communicating with your prospective host about accepting your offer ASAP. Host organisations are under no obligation to maintain their internship offer, nor can they guarantee their internship offer to you, if they do not receive WSI funding.
  • You may find that you and your organisation or internship are not a good fit.
  • You may be offered another opportunity and have to make a difficult decision!

WSI internships will start week commencing 25 June 2018 (or 2 July 2018 if you are an international student with Tier 4 visa) with external employers, and 2 July 2018 with the University's internal academic and administrative departments.

You will work full-time, for around 35-40 hours per week (start, finish and lunch times will be agreed locally). The University's week is usually 36.5 hours in total. Occasionally, an internship may involve working on a Saturday or in the evening - time off or extra pay will be agreed in advance with your line manager.

Note: if you are an international student, you are advised to check the International Office’s immigration pages for further advice regarding work restrictions on your visa, particularly noting whether you can work longer than 20 hours per week during vacation. External employers may request that you begin working in Week 10 of your Summer Term i.e. week commencing 25 June, but we expect students on Tier 4 visa to only start working in the week commencing 2 July.

With the exception of needing time away to attend job interviews for graduate programmes or permanent jobs, interns are committed to work the full duration of their internships.

For internships at Warwick: interns do not build up annual leave entitlement as the hourly rate of approximately £9.25 includes holiday pay.

Internships could be based anywhere in the UK so it is important, when applying, to consider how you might travel to each location or if you need to find accommodation, and factor this into the cost. The University cannot provide financial support for accommodation or travel relating to the internship.

Vacation accommodation is available on campus via Warwick Accommodation from 1 July on a first come, first served basis. Summer accommodation booking will open around 4 June on the accommodation website at the cost of £13 per night for a standard, and £20 per night for en-suite rooms. The cost of this must be met by you, the intern. If you will be working locally, but not on campus, consider how you will commute given the University's very limited provisions for car parking.

WSI vacancies will open for application on Monday 2 April. You will then have until 5pm Tuesday 24 April to apply.

  • Sign in to myAdvantage
  • Complete the Registration of Interest form
  • Come back to this webpage when WSI vacancies open on Monday 2 April, where you will be directed to all the WSI vacancies on myAdvantage (login may be required).
  • Apply DIRECTLY to the host organisation, following the specific application procedures and including any additional documents requested, as set out in myAdvantage "How to Apply" section.
  • Retain a copy of the vacancy advert and your application for reference.
  • You will be contacted DIRECTLY by the host organisation if you have been shortlisted for interviews etc.
  • Once you decide to accept an internship offer, confirm this to the relevant host organisation, and advise other employers who have made you offers that you won't be accepting theirs. Your internship provider (host organisation) will fill in the Recruitment Outcomes Form and ask you to complete the Student Internship Acceptance Form. You must complete this promptly - the time and date stamp on the student’s acceptance form will be used to allocate programme funding to successful internships in order.
  • WSI funding is allocated on first come first served basis. Your delay in accepting an internship offer may affect whether your host organisation is awarded funding to deliver the internship
  • Successful applicants may be required to register on Santander Universities' portal, to show that we have successfully allocated funding to our students - we will be in contact when the registration portal opens.
Note: if you are an international student, you are advised to check the International Office's immigration pages for further advice regarding work restrictions on your visa, particularly noting whether you can work longer than 20 hours per week during vacation. External employers may request that you begin working in Week 10 of your Summer Term i.e. week commencing 25 June, but we expect students on Tier 4 visa to only start working in the week commencing 2 July.

  • Your host organisation will contact you directly to let you know if you have been shortlisted, successful in your interview etc. Once you decide to accept an internship offer, confirm this to the relevant host organisation, and advise other employers who have made you offers that you won't be accepting theirs.
  • Your internship provider (host organisation) will fill in the Recruitment Outcomes Form and ask you to complete the Student Internship Acceptance Form (refer to top of page). Mon 28/05/18 Final deadline for host organisations to submit recruitment decisions, accompanied by student intern's written acceptance of WSI offer to secure funding, to the University’s Internships Development Team (IDT)
04/06 – 15/06/18
  • IDT contacts successful interns to confirm that the internship is going ahead.
  • You will be sent “Preparation for Work” induction/ training invitation, Intern Guide and internship documents and details which will need to be confirmed, completed and returned to IDT by Friday 15/06/18

25/06 – 20/07/18
  • 6-week WSI internships must begin Mon 25/06/18 for UK/EU interns and Mon 02/07/18 for International interns.
  • If your internship is with the University’s internal department, you will need to complete a weekly Unitemps timesheet from the end of the 1st week and every week throughout your internship, for your salary to be processed
Around 23/07/18 If your internship is with an external employer, to enable the processing of grant payment, you, the intern must, in week 4 or 5 of your internship (or once you have received your first payslip):
  • Check that your payslip is correct and shows deductions for tax/national insurance as appropriate (refer to HMRC if in doubt)
  • Email placementlearning@warwick.ac.uk with:
  1. brief description of your working hours e.g. “I am working 9-5 Monday to Friday”
  2. sentence confirming that you are paying income tax and National Insurance e.g. “I am paying income tax & NI”
  • submit WSI Evaluation Form
  • register with Santander Universities portal if required. Note: we will let you know the URL if this is required.
From 30/07/18 Your host organisation will conduct a final review with you around end of week 5 or beginning of week 6 of your internship.
