Warwick Celebrates Terms and Conditions

The Terms and Conditions on this page are for the Warwick Celebrates ceremonies, for graduates from the Summer 2020, Winter 2021 and Summer 2021 graduating cohorts whose original ceremonies were postponed due to Covid-19. Students due to graduate in July 2022 (including current finalist undergraduates and postgraduate students awarded their degree after December 2021) will not be invited to these ceremonies and should instead refer to the 18-27 July 2022 Ceremonies page for information about the normal July 2022 Degree Ceremonies and our Standard Terms and Conditions.

All graduates registering to attend a Warwick Celebrates ceremony are responsible for reading these terms and conditions and the relevant information linked to via this page.

• Warwick Celebrates ceremonies will be held 5-15 July 2022 inclusive.

• The schedule is created based on expected ceremony attendance, using responses to a register your interest email sent in late 2021.

• Graduates will only be invited to the ceremony in which their department/course/cohort is scheduled.

• Only graduates from the Summer 2020, Winter 2021 and Summer 2021 cohorts are eligible to attend Warwick Celebrates ceremonies. No other graduands/graduates are eligible to attend. Winter 2022 graduates will be invited to attend ceremonies in January 2023. All other graduating students will be invited to Degree Congregations as normal, in the Butterworth Hall.

• Graduates from these cohorts with outstanding study related debt are not eligible to attend.

• All graduates wishing to attend their Warwick Celebrates ceremony must register when asked to by the Awards and Ceremonies Team and must do so by the deadline provided.

• Graduates have the option to attend their allocated ceremony only.

• Graduate spaces at the ceremony are allocated on a first-come, first-served basis. In the event that a ceremony reaches full capacity, graduates will be offered the opportunity to register for an alternative ceremony (subject to capacity), usually on the same day but this cannot be guaranteed.

• Graduates wanting to attend who fail to register by the deadline will not be able to attend.

• Graduates who change their intentions after the registration deadline should contact the Awards and Ceremonies Team immediately.

• Graduates who register to attend their Warwick Celebrates ceremony, but do not attend, will not be eligible to attend a future degree ceremony.

• The University's official robemakers Ede and Ravenscroft (E&R) will be supporting the University in managing registration and bookings for the Warwick Celebrates ceremonies. This means we will need to share limited graduate information (full name, student ID, course and award data) with E&R to ensure the registration process is as simple and easy as possible. No other personal data will be shared, and the data gathered will only be used to enable graduates to register their attendance. After the ceremony, graduate personal data will be deleted by E&R. Graduates not attending their Warwick Celebrates ceremony, who do not wish for their personal data to be shared with E&R, should complete this form by Sunday 13 March 2022. Graduates completing this form will not be able to register to attend a Warwick Celebrates ceremony.

• Graduates registering to attend a Warwick Celebrates ceremony will receive one free graduate ticket. This ticket includes free robe hire, a formal photograph and a celebratory drink.

• When registering, graduates will be able to purchase up to two guest tickets at a charge of £20 (per guest), payable upon registration for the event. The cost includes a drink per guest.

• Once the initial registration deadline (for graduates) has passed, guest tickets will become non-refundable. In the event you or your guests do not attend on the day, no refund will be given.

• In the event that there is spare capacity following the graduate registration deadline, additional (non-refundable) guest tickets will be made available for purchase on a first-come, first-served basis, at a charge of £20, payable upon purchase. The cost includes a drink per guest. Extra guest tickets will be limited to a maximum of one per graduate.

• Graduate and guest tickets are non-transferrable. In the event you or your guests do not attend on the day, your tickets cannot be used by others.

• Graduates not attending a Warwick Celebrates ceremony are not able to purchase guest tickets.

• Graduate and guest tickets are issued on the day of the Warwick Celebrates ceremony.

• Tickets can only be collected by graduates and graduates can only collect their own graduate and guest tickets. Photo ID will be required to collect tickets.

• Entry to The Igloo without a ticket will not be permitted.

• Lost guest tickets will not be replaced.

• Graduates and guests without tickets should not attend on the day. Tickets will not be available for purchase on the day.

• In the event that a graduate or guest requires their registered carer to attend, an extra ticket will be allocated, free of charge. Requests must be made directly to the Awards and Ceremonies Team in advance of the initial registration deadline. Guests with accessibility requirements, including those with carers, will be allocated reserved seating at the ceremony. We reserve the right to ask to view proof of a caring role on the day of the ceremony, where an extra ticket has been allocated.

• It is the responsibility of graduates to inform the Awards and Ceremonies Team of any accessibility requirements for both themselves and their guests as part of the registration process so that such requirements can be appropriately accommodated. Graduates should contact the Awards and Ceremonies Team as soon as possible if they have not indicated these in the registration form.

• If a graduate fails to register accessibility requirements of themselves or guests in advance of their ceremony the University cannot guarantee they can be met.

• Graduates attending ceremonies must wear academic dress.

• Academic dress should be hired or purchased from the University Robemakers, Ede and Ravenscroft. For Warwick Celebrates ceremonies, robe hire is included free of charge. Graduates should hire robes when registering their attendance.

• It is the responsibility of students to ensure they have made appropriate hiring (or purchasing) arrangements with Ede and Ravenscroft prior to their ceremony. Neither the University, nor Ede and Ravenscroft, can guarantee the availability of suitable robes if a student has not made such arrangements before the day of their Warwick Celebrates ceremony.

• Graduates' dress should reflect that this is a formal occasion; suitable attire is, a lounge suit with a shirt and tie, a formal dress or a skirt and blouse. Members of the armed forces may wear the appropriate uniform, and members of religious orders their normal mode of dress. Graduates may wear national dress.

• All graduates except those in uniform should wear mortar-boards or bonnets.

• Graduates wearing jeans or trainers (sneakers) will not be allowed into the Warwick Celebrates ceremonies. Graduates whose clothes are considered in any other way unsuitable may be excluded from the ceremony by a member of the Awards and Ceremonies Team.

• All graduates and guests must be seated in the ceremony venue (The Igloo) 30 minutes prior to the start time of the ceremony. Entry cannot be guaranteed after this time.

• In the event that a graduate arrives late for their ceremony, all efforts will be made to offer the graduate the opportunity to attend a later ceremony that day or the following day.

• The Warwick Celebrates ceremonies are professionally filmed, broadcast live on the web and shown on other University of Warwick screens, with the footage made available after the ceremonies. By registering to take part in the Warwick Celebrates ceremony, graduates are giving permission for their image and that of their guests to be recorded.

• Other professional photography and videography takes place on campus on behalf of the University during the Warwick Celebrates ceremonies which may be used for University of Warwick marketing purposes. If graduates or their guests do not wish to be featured, they should let the photographers/videographers know on the day.

• The free formal photograph included for graduates attending Warwick Celebrates ceremonies will be a photo taken by Ede and Ravenscroft staff as the graduate crosses the stage during the ceremony. Graduates will be able to purchase additional copies of the on stage photo, as well as other professional photography packs sold by Ede and Ravenscroft. Photography packs can be purchased at registration or on the day.

• Certificates will not be issued at Warwick Celebrates ceremonies as all graduates eligible to attend have previously graduated in absentia with certificates sent in the post. Any eligible graduate from the Summer 2020, Winter 2021 or Summer 2021 cohorts yet to receive their certificate should contact graduation@warwick.ac.uk.

• The Awards and Ceremonies Team will operate in accordance with all relevant University of Warwick Privacy Notices.

• The Awards and Ceremonies Team will not discuss personal information with a third party (whether via telephone or email) without express written permission from the student. We reserve the right to ask individuals security questions in order to confirm identity.

• The University's official robemakers Ede and Ravenscroft (E&R) will be supporting the University in managing registration and bookings for the Warwick Celebrates ceremonies. This means we will need to share limited graduate information (full name, student ID, course and award data) with E&R to ensure the registration process is as simple and easy as possible. No other personal data will be shared, and the data gathered will only be used to enable graduates to register their attendance. After the ceremony, graduate personal data will be deleted by E&R. Graduates not attending their Warwick Celebrates ceremony, who do not wish for their personal data to be shared with E&R should complete this form by Sunday 13 March 2022. • Contact details provided when registering for graduation will be shared with graduates' academic department, upon their request, for the purposes of contacting graduates with regard to graduation related communications/activities organised by their department.

• After graduation, the University and graduates' academic departments will use the contact details provided when registering for graduation to stay in touch with graduates for alumni engagement and fundraising purposes. These include careers advice, alumni discounts and services, journals access, mentoring, invitations to events and calls to support fundraising projects. Alumni can update their details at any time after graduation on www.warwickgrad.net.

• Graduates who attend a Warwick Celebrates ceremony will have their official name announced by the Master of Ceremonies before crossing the stage (as per any additional pronunciation guidance provided by the graduate as part of the registration process). Names will also be displayed on screens within the venue.

• Details of graduate and/or guest accessible seating requirements provided when registering for graduation will be shared with University of Warwick staff assisting with seating on graduation day.

• The University may cancel, delay, or postpone its Warwick Celebrates ceremonies for a given period due to circumstances beyond its control and under which the ceremonies can no longer reasonably, or safely, be expected to take place. Such circumstances may include (though are not limited to): fire, flood, explosion or any other incident that renders the venue in which the Warwick Celebrates ceremonies are due to be held unsafe to use; terrorist act (or threat of a terrorist act); natural disaster; epidemic; pandemic; industrial action; or a period of national mourning.

• In the event of postponement/cancellation, graduates will be entitled to a refund on any guest tickets purchased.

• The University cannot be held liable for any other losses direct or otherwise incurred by graduates and guests if graduation ceremonies are cancelled, delayed, or postponed as a result of any unforeseen circumstances.

• Any changes to the ceremony schedule as brought about by unforeseen circumstances will be communicated to attending graduates via email and advertised clearly on the University's website.

• The University reserves the right to change the format of the event as a result of unforeseen circumstances.
